Restoring Relationships

Policy on Recording of Online Events

Purpose

  1. This policy outlines Restoring Relationships’ standards for recording online events. Recordings are used to ensure that valuable content, resources, and community discussions remain accessible to participants who may be unable to attend live sessions, while upholding privacy, informed consent, and ethical responsibilities.

Scope

  1. This policy applies to all virtual events hosted or facilitated by Restoring Relationships, including but not limited to workshops, webinars, meetings, training sessions, support groups, and community discussions. It covers all attendees, participants, volunteers, facilitators, guest speakers, and staff.

Guidelines and Procedures

  1. When feasible, each event intended for recording will include a written and/or verbal notice informing attendees that the session will be recorded. This notice will appear on the event registration page and/or be communicated at the beginning of the session.

  2. Recordings may be created for documentation, educational use, internal training, or sharing within designated community spaces, as outlined by this policy.

  3. A reminder will be given at the start of each event to confirm that recording is taking place.

  4. Individuals who prefer not to appear in the recording may opt out by turning off their camera, muting their microphone, or refraining from participation in recorded segments.

Consent Requirements

  1. Explicit consent will be obtained from guest speakers, panelists, or any featured presenters prior to recording their contributions.

  2. For sessions that involve sensitive or personal subject matter, additional written consent may be required based on organizational or legal standards.

  3. By joining a recorded event, participants acknowledge their consent to being recorded unless they opt out as described above.

Data Security & Retention

  1. All recordings will be stored securely and accessible only to authorized personnel.

  2. Distribution or sharing of recordings will follow applicable privacy laws and all internal policies governing confidentiality and data protection.

Use & Distribution

  1. Recordings may be used for training, educational purposes, awareness campaigns, community resource sharing, or organizational promotion as appropriate.

  2. Any editing or modification of recordings must preserve the authenticity and meaning of the original event.

Compliance & Enforcement

  1. Unauthorized recording, copying, or distribution of event audio or video is strictly prohibited.

  2. Violations of this policy may result in removal from events, loss of community privileges, or further action as deemed appropriate by Restoring Relationships.
